My Character Report, Inc. (“MCR,” “we,” “us”) prepares rental background reports with the participation of the applicants they describe. This policy explains what personal information we collect through www.mycharacterreport.com and our applicant and property portals, how we use and share it, and the choices you have.

Information we collect

From you, the applicant: your name and contact details and the information in your MCR Pre-Qual application, such as your date of birth, Social Security number, driver’s license or other ID, address history, income and employment, and criminal history, together with the documents you upload and what you tell us on your preview call.
From the property you applied to: the transmittal it sends us, including your rental application and copies of your identification.
From our research: results of database and public-record searches about your identification, financial capacity, address and criminal history.
From property users: account details for the staff who send transmittals and record decisions.
When you contact us: what you enter in our contact and sign-up forms.
Automatically: your IP address, browser type and the pages and documents you open, which we log for security.

How we use it

To verify your identity and to prepare, preview, revise and deliver your MCR report.
To schedule your preview call and email you about each step.
To process your release payment.
To send the notices the law requires, including a notice if a property declines your application.
To answer your questions, protect our site and our users, and meet our legal obligations.

We do not sell your personal information, and we do not use it for third-party advertising.

Who we share it with

The property you applied to. Your final report goes only to that property, and only after you have reviewed it and authorized its release. Records that are not relevant to that property’s purpose are left out.
Service providers that help us run our business, such as database search providers, our hosting and email providers, and our payment processor, Stripe. They may use your information only to provide services to us.
When the law requires it, for example in response to a subpoena or court order, or to protect the rights and safety of others.

The amount of your release payment stays private between you and MCR. It is not shared with the property.

How we protect it

Sensitive application details, such as your Social Security number, date of birth and ID numbers, and every document you upload are encrypted when stored.
Your review copy and file copy of the report are PDF files protected with your personal PIN.
The applicant and property portals require a login, and every document request is logged.
Online card payments are made on Stripe’s secure checkout page. MCR does not receive or store your full card number.

No system is perfectly secure, but we work hard to protect your information, and we will notify you of a security incident when the law requires it.

How long we keep it

We keep your application, documents and reports for as long as we need them to provide our services, handle disputes and reinvestigations, and meet our legal and record-keeping obligations. After that we delete or de-identify them.

Cookies

Our site uses cookies that keep you signed in and protect our forms from misuse. We do not use advertising cookies.

Your choices and rights

You decide whether your final report is released. You can stop the release at any time before you make the release payment.
You can ask what information we hold about you and ask us to correct anything that is inaccurate or incomplete.
Under the Fair Credit Reporting Act you can dispute the accuracy or completeness of information in your report, and we will reinvestigate it free of charge. See our Disclosure & Disclaimer for a summary of your rights.

Children

Our services are for adults applying for housing. We do not knowingly collect information from anyone under 18.

Changes to this policy

We may update this policy from time to time. We will post the new version on this page and change the date above.
